Student Status at the University of Alberta

Each university has its unique ways for defining student status.  At the U of A, only students in masters and doctoral programs are categorized as graduate students.  This means that Diploma students, Open Studies students and Special students are governed by the same regulations for registration, cancellation of registration, and fees as indicated for undergraduate students.  The University of Alberta registration processes are evolving to meet new needs.  Changes are posted regularly on the web site of the Registrar's Office.  Please review this information before you register each term to avoid problems.

The U of A Calendar and all the information you need to register as a U of A student is available online. (You can even check your grades for the current and previous term online!)  Undergraduate students who are new to the U of A, who have been admitted and live out of town, will have a registration package mailed to them automatically.

Continuing students are expected to pick up a U of A calendar and registration book from their faculties starting towards the end of March each year.  Distance students (except those living in Edmonton, Sherwood Park or St Albert) are not expected to do this in person. If you would like to have a print copy of the U of A calendar and registration book, whether you are newly admitted or continuing in distance learning courses, email Erika Chomitsch, Manager, Records, Office of the Registrar & Student Awards at erika.chomitsch@ualberta.ca, and she will mail them to you.  Each student is entitled to one copy of the calendar each year. If you lose your copy, the Bookstore can sell you one.

Confirmation Deposit (new this year!)

Undergraduate students (which includes Diploma, Open Studies and Special students) must confirm their registration by submitting a non-refundable Confirmation Deposit of $175.  Only students registered in the Faculty of Graduate Studies and Research (masters and doctoral students) are not required to pay the Confirmation Deposit.

Failure to pay the Confirmation Deposit by the dates below will result in the cancellation of your course registrations. The Confirmation Deposit will count toward your fees. It does not increase the total amount of fees which you are assessed. When your payment is received a letter confirming receipt of your deposit will be mailed to you at your mailing address.

Students registering for Winter Term Only (January-April): If you began your registration by telephone or other means on or before December 1, your payment must be received by Wednesday, December 15. If you began registering after December 1, your payment must be received within two weeks of the date of your first registration. If you began registering after January 1, your payment must be received by January 14.

Students registering for Fall Term (September-December) or Fall/Winter (September-April): If you began your registration by telephone or other means on or before August 1, your payment must be received by Monday, August 16. If you began registering between August 1-31, your payment must be received within two weeks of the date of your first registration. Fees for Athletic Services and Health Services are optional for  off-campus students. The fee schedules and payment options are detailed on the U of A website at www.registrar.ualberta.ca.  All courses require a coursepack of readings which will cost a maximum of $50; some courses also require texts as indicated in the course descriptions.  Distance Library services are also available for a fee.

Registration Deadlines

What deadlines do I need to know about?

For Winter courses, begin the registration process by early November--this is especially important for Open Studies and Special students, that is, students who are not enrolled in a University of Alberta Diploma or Master's program. Official University of Alberta class dates for Winter on-campus courses are January 10 - April 12, 2000. Distance courses generally begin at least a week before on-campus courses to ensure that students have appropriate Internet access and to give time for students get experience in the course before course withdrawal deadlines must be met. Course fees are due January 31st for Winter 2000. Missing deadlines is expensive!

For Fall courses, begin the registration process by early August--this is especially important for Open Studies and Special students, that is, students who are not enrolled in a University of Alberta Diploma or Master's program. Official University of Alberta class dates for Fall on-campus courses are September 9 - December 12, 1999. Distance courses generally begin at least a week before on-campus courses to ensure that students have appropriate Internet access and to give time for students get experience in the course before course withdrawal deadlines must be met. Course fees are due September 30 for Fall 1999.  Missing deadlines is expensive!

Course Registration

Before you can be registered in any U of A course, you must be admitted as a University of Alberta student.

Step 1.  Establish Your Student Status

The registration process depends on your student status:

  1. If you are currently enrolled in a University of Alberta Diploma or Master's program or if you have been enrolled as an Open Studies or Special student in the past 12 months, use the University's telephone registration system.

  2. If you are currently enrolled in a graduate program in one of the four western provinces, contact your faculty advisor to see if you can make use of the Western Dean's Agreement. This form allows you to register in the U of A courses as if they were offered by your university. Please complete the form, have it signed as directed on the form, and mail it to Gwen Parker, Department of Elementary Education, 551 Education South, University of Alberta, Edmonton, AB, T6G 2G5. Telephone registration is not available to students making use of the Western Dean's Agreement.

  3. If your status is other than (a) or (b), you need to be admitted or re-admitted to the University of Alberta. The easiest way to do this is as an Open Studies student. There is a non-refundable application fee of $60 but the Open Studies application is only one-page long; it can be mailed to you or you can download it from the University of Alberta web site and generally no transcripts or additional documents are required. Send the completed form along with a $60 check made out to the University of Alberta to Office of the Registrar, University of Alberta, Edmonton, AB T6G 2M7. After your Open Studies application has been approved, the Registrar's Office will send you the materials needed for telephone registration.

Step 2.  Telephone Registration Process

The telephone registration process  may seem complicated the first time you try it, but once you have mastered it, telephone registration can be a great time saver. The instruction page and the Telephone Registration Worksheet is available on the web.   Please pay particular attention to all instructions since registration procedures have changed since the last time you registered.

Information You Will Need:

When you call into the Telephone Registration system, you will need to know: (a) your 7-digit student ID number (b) your 4-10 digit PIN number,  (c) your Academic Program Code, and (d) the Catalogue Number of the course in which you want to register.

  1. If you are a new student, you can find your Student ID Number on your letter of acceptance. Note: all Student ID Numbers must have seven digits. If yours has 6 numbers, enter a 0 (zero) first: 0123456

  2. Your PIN number is pre-set as your date of birth in the form Year/Month/Day (for a birth date of January 16, 1975, the PIN is 750116)

  3. Use the appropriate Academic Program Code from those listed below.

    *63*74010 -- Open Studies, U of A

     *32*31550 -- Diploma, Faculty of Education, U of A

*32*31099 -- Special Student, Faculty of Education, U of A

     *41*74518 --  Master of Education (Course-based) program, U of A.
